Whitepaper: Automating Virtual Payment and instructions from GDS to PMS
Virtual Payments provide a seamless, automated, end-to-end payment solution, ideal for hotel reservations, a perfect replacement for the direct bill process and for corporations keen to manage and control expenditure. However, not all travelers benefit from the smooth experience, as payment instructions are missed or fail to make it to the front desk.
The Challenge
Since a Virtual Card Number cannot be handed over to the hotel like a physical card, it falls under the category of a card-not-present (CNP) transaction, often requiring a third-party authorization form and/or instructions to be sent, traditionally by fax or email, which can be far from seamless or automated.
The process of submitting authorization forms creates a hurdle in the smooth workflow as it requires manual intervention by the agency and from the hotel staff to accept and input the provided information into their Property Management System (PMS). Moreover, there is a risk of errors or omissions as it relies on human handling of the payment instructions which ultimately, can affect the traveler check-in/out process.
